Eventflow has published an analysis of how exhibitors used its AI assistant to prepare for an unnamed major European trade exhibition held in October 2026, showing nearly a quarter of registered users turned to it for help.
Of 1,941 registered Eventflow users across 854 exhibitor teams, 488 accounts interacted with the assistant, submitting 1,853 messages between them. Questions covered practical requirements: stand construction, freight, registration, access passes and submission deadlines. Almost 64% of messages were sent in September and October, with 95 messages logged on the day before the show opened alone, covering exhibitor passes, build-up access, arrivals and parking.
Some exchanges went beyond general queries. In one, the assistant identified a user’s overdue stand-plan submission, distinguished it from tasks already completed, and pointed them to the relevant action, a different user asking the same question got different priorities based on their own outstanding tasks.
Antonio Genziani, commercial director at Eventflow, said: “What’s particularly interesting is the level of engagement. At one event, a quarter of users turned to the AI assistant for help preparing for the show. Every one of those conversations gives us a better understanding of what exhibitors need.”
Eventflow launched the Gemini-powered assistant in May 2026, built into its existing exhibitor-management platform, whose customers already include Goodwood, CloserStill Media and BIBA. The company was selected this July to demo at IBTM World’s AI showcase in Barcelona this November.
