With over 20 years of brand marketing experience across three continents, Miami-based strategist Mike Silver, managing director and U.S. partner at Booth Exhibits, draws on his global perspective to examine how businesses can achieve maximum return on investment from their exhibition stands.
Getting the most “bang for your buck” at an expo means more than just finding a cheap deal; it’s about being strategic with your spending to get a higher return on investment. The key is to manage your budget effectively without sacrificing the quality and impact of your brand’s presence.
Focus on Your Goals for Maximum ROI
True value comes from achieving your objectives, so let your goals drive your spending.
- Define Measurable Goals: Before you spend a single dollar, establish specific, measurable, achievable, relevant, and time-bound (SMART) goals for your exhibition. Whether your objective is lead generation, sales, or brand awareness, every budget decision should be made to support it. This ensures that your money is working directly toward your desired outcome.
Avoid Common Budgeting Mistakes
Many exhibitors fall into a few predictable traps that can inflate costs. To stay on budget, you have to be vigilant about your spending.
- Don’t Underestimate Costs: One of the biggest mistakes is failing to budget for “hidden” expenses. While booth rental is a known cost, smaller, often overlooked items like electrical connections, labour for setup, insurance, and storage fees can quickly add up and cause budget shortfalls.
A common oversight is the nuances of show services costs in the US, which are often higher than any other market, specifically when it comes to storage, material handling, electricity and show mandated labour.
- Avoid Poor Planning: Rushing decisions can be costly. Lack of proper planning and timeline management often results in last-minute orders, which can lead to higher prices. By thinking ahead, you can secure early-bird discounts and avoid expensive expedited services.
- Don’t Overcommit on Booth Size: Opting for a larger-than-needed space or extravagant, high-tech features can increase costs without a proportional return. Instead, focus on making a smaller, more impactful stand that draws attention through smart design, not just size.
When it comes to stands, bigger isn’t always better; larger spaces require more budget to ensure they do not look sparse. In the case of Navan, we used creative set design and staff travel props in a relatively confined space. While the stand at Start Up Grind 2025 was only 10×10, it had greater activity than any other because of these engagement tactics.
Strategic Booth Choices for Quality and Cost-Effectiveness
Your physical stand can take up about 60% of your total budget, so making smart choices here is critical.
- Go Modular: A modular exhibition stand is a cost-effective alternative to a custom-built one. It can be reused and reconfigured for different events, which simplifies storage and transport while significantly reducing your long-term spend without compromising on a professional look.
We needed to exhibit at two Las Vegas shows for Atomicwork in quick succession. Using a combination of system and custom elements, we were able to not just achieve economies of scale but also reduce our waste footprint, with the system elements being able to be reused on future projects.
In the competitive world of exhibitions, getting ahead doesn’t mean outspending your rivals; it means outsmarting them. By focusing on meticulous planning, making strategic choices with modular designs, and budgeting for every detail, you can secure a professional and impactful presence. Ultimately, the true success of your stand is not measured by its size, but by the tangible return on your investment, proving that with the right strategy, you can achieve a huge impact without a huge budget.
